How-To Properly Enter a Unique ID in the Scheduling Portal

When scheduling appointments in the scheduling portal, one of the first tasks you encounter is entering a Unique ID. This ID is critical for identifying a shipment within the system. However, many users run into errors because of formatting issues or overlooked rules. This guide will walk you through the correct process and highlight common mistakes to avoid.


Why Unique IDs Matter

The Unique ID acts as a reference point for your appointment request. If entered incorrectly, your request may be denied or delayed, causing unnecessary back-and-forth. Understanding the rules upfront will save time and frustration.


Key Rules for Unique IDs

Before you start, keep these guidelines in mind:

  • Only letters and numbers are allowed: no space or special characters (e.g., @, #, -).

  • The maximum length is twenty characters.

  • Enter one ID at a time; do not paste multiple IDs in a single field.

  • Press “Enter” after keying each ID to “lock it in”, it will turn into a blue bubble when you do this.

  • Avoid adding prefixes like “SO#” before the actual ID.


Step-by-Step Instructions

  1. Log in to the Scheduling Portal


  2. Locate the Unique ID Field and Enter your ID

    • Type the ID using only letters and numbers with no spaces.

    • Press Enter after each ID. This converts the entry into a blue bubble, locking in your entry.

    • If you have multiple IDs, enter them one at a time, pressing Enter after each.

    • Ensure all IDs are properly formatted and within the character limit before proceeding.

Check for Errors

  • If you pasted multiple IDs at once or include spaces/special characters, you will not receive an error on the Scheduling page, but your appointment will be declined when you submit it.

    • If this happens, create a new appointment and correct the issue by removing invalid characters or splitting IDs into separate entries.

Pro Tips

  • If you copy IDs from another system, double-check for hidden spaces or extra text.

  • If your appointment request is denied, review the email for the highlighted reason (e.g., invalid ID format or missing carrier).
